Google introduces Workspace Intelligence and new Sheets Canvas features to embed AI agents into workflows and turn spreadsheets into interactive applications.
Businesses increasingly deploy AI for discrete tasks, but systems often lack full visibility into company data and workflows. This “context wall” forces employees to manually assemble relevant information, preventing AI agents from understanding relationships across projects, documents, and collaborators. As a result, automation remains fragmented and dependent on human coordination.
Workspace Intelligence aims to address this gap by providing a real-time, secure understanding of how data, projects, and people connect across Google Workspace. The system enables AI agents to operate across entire workflows rather than isolated tasks, proactively surfacing relevant information and reducing manual input from employees.
The new approach reflects a broader move toward “agentic work,” where AI systems actively manage processes instead of responding to prompts. By embedding intelligence directly into productivity tools, the platform shifts responsibility from users to AI, enabling continuous assistance based on evolving context rather than static queries.
A central feature is Sheets Canvas, which allows users to transform spreadsheet data into fully interactive applications using prompts. Instead of manually building charts or dashboards, users can generate dynamic visualizations that update automatically as underlying data changes.
Users can create dashboards that display metrics such as adoption trends across accounts, with clickable elements that reveal deeper insights. These visualizations function like mini applications, offering real-time updates and seamless sharing through existing Workspace collaboration tools.
The platform enables dynamic analysis features such as word clouds for survey data, where users can click keywords to access underlying responses. This allows teams to explore qualitative feedback interactively while maintaining direct links to source data.
Sheets Canvas can generate structured tools like Gantt charts for project planning and budget simulations for financial analysis. These tools support real-time updates, meaning any change in input values immediately reflects across both the visualization and the underlying spreadsheet.
Users can also build workflow tools such as Kanban boards directly within Sheets, eliminating the need for separate CRM or project management software. Changes made within these interfaces automatically sync with source data, preserving consistency while maintaining Workspace’s existing governance and sharing controls.
Across all features, real-time data synchronization ensures that visualizations, simulations, and workflows remain aligned with the latest information. The system retains standard Workspace permissions and collaboration capabilities, allowing teams to share and edit interactive tools as easily as traditional documents.
These updates position Google Workspace as a more integrated, AI-driven environment, aiming to reduce friction between data, tools, and decision-making.
The pace of innovation with AI is incredible. We've gone from using AI to complete discrete tasks to directing outcomes with agents embedded in end to end workflows across your entire business. But we see a glaring challenge the context wall. I often feels disconnected from your business context. Your employees still have to manually connect the dots to provide the right files to the right context. Because of this, agents don't see the full picture of your work to break down the context wall, we're excited to announce Workspace intelligence. Workspace intelligence powers agentic work. It delivers a secure, real time understanding of the relationship between your Workspace apps, your active projects, and all of your collaborators. Workspace intelligence brings your work to you, proactively shifting the burden of work from you to AI. Now, we announced this in many other product investments that are fully focused on making daily work easier for you. Let me just give you a preview with our new Sheets Canvas. Here we are with some adoption data. It's very common to have this type of data and do a spreadsheet. And sometimes it's hard to actually compress into something that is digestible. So we're going to use the new Canvas mode inside of Sheets to prompt it, to create a dashboard that allows me to visualize the information for each account in an easy to read way right away. Gemini goes to work to start to construct a fully interactive visualization on top of your data. Now, what's great is that this is actually a mini app. You can interact with it and as you use it, it always stays up to date with the underlying data. So you can see here as I'm clicking through accounts I'm getting adoption trends. It's absolutely beautiful. And the best part is I can actually share this just like I do any other sheet. Now here we are in a user survey. I've been able to turn this into a Word Cloud, so you can really get a sense for just how dynamic and interactive all of these things that you can create are. I can now dive into some of these words like complete or recommend or improvement, and it gives me all of the underlying feedback because again, it's connected to that live data. How cool is that. One of the other examples is a project plan. We often have to go through many steps in our work, and it's hard to see them laid out in a visually appealing fashion. Well, I've just asked Sheets Canvas to go ahead and create a Gantt chart. And just like that, it built a fully interactive application on top of my data. I can go ahead and change the status. It's instantly reflected in the underlying data, and I can navigate this just like I would any other app. You see, it even added controls for the size and shape. So I can actually see this in a way that's comfortable for me. What about a budget. Here's a budget analysis that we have, but I want to actually take this a step further and actually have it be what if analysis. So I've asked yet again, Sheets Canvas to create a budget simulation on top of this data. You can see all the profitability performance, revenue source breakdown. It is absolutely beautiful. I can also run simulations. And again it's pulling on top of all of the data in real time. So when I change a value here, I do for this may value, it'll actually be reflected instantly, not just in the dashboard itself, but in the sheet that underlies this data. One other examples customer outreach. It's very difficult sometimes to track where you're at with a customer. We have to use sometimes custom applications or out of the box CRMs that may not be fit for purpose. Here I've turned my lead pipeline into an interactive Kanban board. You can see I can pull these from not started over to contact ID and instantly the data underneath will be up to date. So it's a very, very flexible container for me to be able to interact with my data right inside of Sheets. Again, keeping all the same controls, governance, sharing and collaboration features that you've come to expect from Workspace. Now, this is just a taste of what's new in Workspace.
