A standard HR specialist is described as working 8.5 hours a day, Monday to Friday, totaling about 22 days and 187 hours each month. At a monthly cost of roughly 16 million VND, much of that time is consumed by emails, spreadsheets and repetitive administrative processing.
The new system, labeled recruitment agent 2.0, is built on Google's Gemini enterprise stack with enterprise-grade security and a multi-agent architecture. It is designed to automate core recruiting tasks that typically require manual review and coordination.
The workflow begins as soon as an application email arrives. The system automatically detects the incoming message, extracts the attached CV and uploads the file to a centralized Google Drive folder dedicated to resume storage.
After the CV is stored, the system creates a new applicant entry in a spreadsheet. Each new record is assigned an initial unanalyzed status, creating a live queue for downstream processing and tracking.
A main routing agent built with the Workspace Agent Development Kit SDK passes candidate data to specialized subagents. The first subagent analyzes the CV against predefined scoring criteria and compares it with an internal job description database.
The analysis produces a suitability score and a detailed assessment of strengths and weaknesses. In the example shown, the candidate received 82 points, and the system also generated tailored interview Q&A prompts for HR teams to use in follow-up conversations.
Beyond analysis, the system can draft candidate emails and send them automatically. This shortens response times from days to under two hours, creating a faster and more consistent line of communication with applicants.
The automation is positioned as improving candidate experience and operational speed. Reported outcomes include a 40% increase in offer acceptance rates and a 70% reduction in overall time to hire, helping organizations move faster in talent acquisition.
The recruitment workflow shows how AI agents can shift hiring from manual administration to near real-time processing. The central promise is faster screening, quicker candidate engagement and materially lower HR effort at scale.
